Registration Policy
Effective as of June 1, 2026
Thank you for choosing Cedarwood Outdoor School (“COS”). We are committed to providing high-quality outdoor education and nature connection experiences. The following policy outlines expectations related to registration, deposits, payment, cancellations, transfers, waitlists, weather and other circumstances. Enrollment in our classes or programs constitutes acceptance of these terms.
1. Registration & Enrollment
Registrations are processed online via our secure registration system. A space is confirmed only when the required deposit and completed registration form are received.
COS reserves the right to deny admission or remove a participant from a program when safety, behavior, or other considerations indicate that attendance may compromise the experience for the participant or others.
2. Deposit & Payment Policy
Cedarwood Outdoor School offers both multi-session programs and single-day or short-term workshops. Payment requirements vary accordingly.
A. Multi-Session Programs (Enrichment Programs, Birder Program, Seasonal Intensives)
A 25% deposit is required at the time of registration to secure a participant’s space.
The remaining balance is due no later than three weeks prior to the start of the program, unless otherwise specified. Payment deadlines will be clearly outlined at the time of registration.
25% of total tuition is non-refundable. Any additional payments may be refundable in accordance with the Cancellation Policy below.
Payment plans may be available upon request. Cedarwood Outdoor School seeks to make programs accessible to families while maintaining program quality and sustainability.
Due to the structure of the Birder Program, full tuition payment is required at the time of registration.
B. Single-Day Classes (Workshops and Specialty Events)
Full payment is due at the time of registration.
25% of total tuition is non-refundable.
The remaining tuition may be refundable in accordance with the Cancellation Policy below.
Payments may be made by credit card, ACH, or other approved payment methods.
3. Waitlist Policy
When a program reaches capacity, a waitlist may be opened.
Waitlist placement is on a first-come, first-served basis.
No payment is required to be placed on a waitlist.
If a space becomes available, individuals on the waitlist will be contacted in the order received and provided a deadline to complete payment and confirm attendance before the space is offered to the next person.
Waitlist offers not accepted by the deadline will be released.
4. Cancellation Policy
We understand that unforeseen circumstances can arise. However, many costs (staffing, planning, food, equipment, site use) are incurred long before a session begins. Accordingly, cancellations are subject to the following terms:
A. Multi-Session Programs
Cancellations made 30 days or more prior to the start date: refund issued minus the non-refundable portion of tuition (25%).
Cancellations made less than 30 days prior to the start date: no cash refund issued. A partial credit may be offered at the discretion of Cedarwood Outdoor School.
No refunds are issued after a program has begun.
B. Single-Day Classes & Workshops
Cancellations made 14 days or more prior to the event: refund issued minus the non-refundable portion of tuition (25%).
Cancellations made less than 14 days prior to the event: no refund issued. A partial credit may be offered at the discretion of Cedarwood Outdoor School.
No refunds are issued for no-shows.
5. Program Cancellation by Cedarwood Outdoor School
Cedarwood Outdoor School reserves the right to cancel a program due to low enrollment, instructor illness, or other unforeseen circumstances.
In such cases, participants will receive a full refund or, when appropriate, the option to transfer to another program or receive a credit toward a future offering.
6. Weather & Program Modifications
Many Cedarwood Outdoor School programs take place outdoors and operate in a variety of weather conditions. Adjustments may be made in the interest of safety and overall program quality.
COS reserves the right to modify programming (including schedule, location, activities) due to weather, wildfire smoke, hazardous conditions, or other safety concerns.
If a program must be postponed, shortened, or canceled due to these conditions, Cedarwood Outdoor School will make every reasonable effort to reschedule the session. If a participant is unable to attend the rescheduled date, a credit toward a future program or a partial refund may be issued at the discretion of Cedarwood Outdoor School.
COS is not responsible for travel costs or other non-refundable expenses incurred due to weather or program changes.
7. Illness, Injury & Medical Withdrawal
Participant well-being is a priority. If a participant must withdraw due to documented medical reasons prior to the start of a program, COS may issue a partial credit toward a future program at its discretion (less the non-refundable deposit).
Once a program has commenced, no refunds or credits are issued for withdrawal due to illness or injury.
All participants are responsible for maintaining adequate health insurance coverage.
8. Participant Expectations
Participants are expected to arrive on time and prepared for all scheduled sessions.
No refunds or credits are issued for late arrivals or early departures.
Participants are responsible for reviewing all program details and requirements prior to attending.
9. Non-Transferability
Registrations are specific to the participant and are not transferable to another individual unless expressly permitted by COS.
